2. ACCEPTANCE OF THESE TERMS

You must have the legal capacity required under the law applicable to you. Where parental or guardian consent is legally required, you may use the service only with that consent.

The service is the primary communication infrastructure of The Better Coffee Endeavour.
It may be used by participants, partners, volunteers, members of The Places, The Trainers, course participants, researchers, coffee people, and other persons involved in or interested in The Better Coffee.
Use of the service does not by itself:
• create employment, agency, partnership, membership, or representation;
• grant a license within The Places or The Trainers;
• provide access to paid structures, courses, services, or protected materials;
• authorize a person to act on behalf of the Service Provider, The Better Coffee Office, or The Better Coffee.
The Better Coffee Standard provides the ethical orientation of The Endeavour. These Terms define the legal and operational conditions for using the communication service.
4. ACCESS AND FEES
Creating and using an ordinary account on this Matrix server is free of charge.
Specific courses, licenses, consultations, services, events, or other activities discussed through the service may be subject to separate conditions and payments. Those arrangements are not governed solely by these Terms.
The Service Provider may limit registration, require an invitation, require email verification, or temporarily suspend new registrations when necessary for security or operational reasons.
5. ACCOUNT REGISTRATION
You must provide a valid email address and complete email verification.
You are responsible for:
• providing accurate registration information;
• choosing a secure password;
• protecting your password, devices, access tokens, recovery key, and encryption credentials;
• keeping your email address current;
• informing the Service Provider when you suspect unauthorized access.
Accounts are personal unless the Service Provider explicitly approves a shared or organizational account.
You may not impersonate another person or organization, create deceptive identities, register accounts through automated means without permission, or transfer an account in a way that creates confusion about its owner.
6. ENCRYPTION AND ACCOUNT RECOVERY
Matrix supports end-to-end encryption. The encryption status of a particular room, conversation, device, or call depends on its configuration and the client being used.
You are responsible for verifying your devices and securely storing your recovery key or recovery passphrase.
The Service Provider may be unable to:
• recover encrypted messages;
• restore encrypted history;
• recover encryption keys;
• access encrypted content;
• restore an account when all recovery methods have been lost.
Loss of a password, recovery key, verified device, or access to the registered email address may result in permanent loss of access to some data.
7. ACCEPTABLE USE
You must use the service responsibly and in a manner consistent with human dignity, mutual respect, shared responsibility, and the 20 Core Values of The Better Coffee.
You must not use the service to:
• violate applicable law;
• threaten, harass, intimidate, stalk, exploit, or deliberately humiliate another person;
• discriminate against people or promote dehumanization;
• publish private or confidential information without authorization;
• distribute malware, malicious links, phishing messages, or harmful code;
• attempt unauthorized access to accounts, rooms, servers, devices, or infrastructure;
• interfere with the operation or security of the service;
• send unsolicited mass messages or commercial spam;
• impersonate another person or falsely claim authority within The Better Coffee;
• distribute content that infringes copyright, privacy, confidentiality, or other rights;
• organize fraud, exploitation, violence, or other unlawful conduct;
• use automated systems, bots, scraping tools, or integrations without permission where they may affect the service or its users.
Disagreement, criticism, political discussion, systemic critique, and conflict are not prohibited merely because they are uncomfortable. They must, however, remain compatible with the safety, dignity, and rights of other participants.
8. ROOMS, SPACES, AND MODERATION
Rooms and Spaces may have additional purposes, access conditions, moderation practices, or internal rules.
Room administrators and moderators may manage membership, permissions, invitations, messages, and room settings within the technical powers available to them.
The Service Provider, including through The Better Coffee Office as its operational function, may take proportionate action when necessary to:
• protect participants;
• protect the infrastructure;
• respond to abuse or security incidents;
• comply with legal obligations;
• preserve the purpose of a room or Space;
• prevent impersonation or misuse of The Better Coffee names and structures.
Actions may include warnings, removal of content where technically possible, restriction of access, removal from rooms, temporary suspension, or termination of an account.
Operational moderation of the communication infrastructure does not give the Service Provider or The Better Coffee Office authority over the independent work, views, organizations, or activities of participants outside the service.
Questions or objections concerning moderation may be sent to:
office@thebettercoffee.org
9. USER CONTENT
You retain ownership of content you create and share.
By sending content through the service, you grant the Service Provider a limited, non-exclusive, worldwide, royalty-free license to process, store, transmit, synchronize, back up, display, and federate that content only as necessary to operate the service and deliver it to the rooms and users you select.
You are responsible for ensuring that you have the right to share the content.
Content may be copied, quoted, downloaded, forwarded, exported, screenshotted, or otherwise retained by other participants. The Service Provider cannot fully control copies created by recipients.
10. MATRIX FEDERATION
Matrix is a decentralized and federated protocol.
When you communicate in a federated room or with users from another homeserver, relevant account information, room events, messages, files, encryption data, membership information, and technical metadata may be transmitted to and stored by other Matrix homeservers.
Those homeservers are operated independently and may have different terms, privacy policies, security practices, moderation rules, and legal jurisdictions.
The Service Provider cannot control or guarantee deletion of data stored by an independent homeserver.
11. THIRD-PARTY CLIENTS AND SERVICES
You may access the service using Element Web, Element Desktop, Element X, or another compatible Matrix client.
A third-party client, application store, operating system, notification provider, integration, bot, bridge, or external service may process data independently under its own terms.
You are responsible for reviewing the conditions of third-party software and services you choose to use.
The Service Provider is not responsible for the independent operation of third-party clients or services.
12. CALLS AND RECORDING
Voice and video calls may be provided through self-hosted MatrixRTC, Element Call, and LiveKit infrastructure.
The service does not record calls on the server by default.
A participant may nevertheless use device-level recording, screenshots, external software, or other recording methods. Anyone recording a call is responsible for informing participants and obtaining any consent required by law.
13. SERVICE AVAILABILITY
The service is maintained on a reasonable-efforts basis.
Temporary interruptions may occur because of:
• maintenance;
• software updates;
• security incidents;
• hosting or network failures;
• hardware limitations;
• errors in open-source software;
• circumstances outside the Service Provider’s reasonable control.
The Service Provider does not guarantee uninterrupted availability, permanent storage, compatibility with every client, or recovery of every message, file, room, call, or account.
Important information should also be retained by users in an appropriate independent form.
14. CHANGES TO THE SERVICE
The service may evolve as the needs and structures of The Better Coffee Endeavour change.
Features, rooms, clients, registration rules, storage limits, integrations, or technical components may be added, changed, restricted, replaced, or discontinued.
Where a material change affects existing users, reasonable notice will be provided through the service, email, or the public website where practicable.
15. ACCOUNT SUSPENSION AND TERMINATION
You may stop using the service at any time.
Account deactivation may be available through account settings or by contacting:
office@thebettercoffee.org
The Service Provider may suspend or terminate an account when reasonably necessary because of serious or repeated violations, legal requirements, security risks, impersonation, abuse, or significant disruption of the service.
Where appropriate and legally possible, the user will be informed of the reason.
16. EFFECTS OF ACCOUNT DELETION
Deleting or deactivating an account does not necessarily erase every message or event previously sent.
Data may remain:
• in room history;
• on the devices of other participants;
• in quotations, replies, exports, screenshots, or downloaded files;
• on federated Matrix homeservers;
• in security logs for a limited period;
• in protected backups until those backups expire.
The account may appear as deactivated or anonymized while previously sent room events remain necessary for the continuity and integrity of conversations.
17. INTELLECTUAL PROPERTY
The software components used by the service are governed by their respective open-source licenses.
The names, documents, logos, materials, and structures of The Better Coffee remain subject to their applicable copyright, licensing, and usage conditions.
An account does not grant permission to present a person, product, service, organization, or activity as officially endorsed, licensed, or operated by the Service Provider, The Better Coffee Office, or The Better Coffee.
18. DISCLAIMER AND LIABILITY
The service is a communication infrastructure and does not guarantee the accuracy, legality, reliability, or quality of statements made by users.
Users remain responsible for their own decisions, agreements, files, communications, and actions.
To the extent permitted by law, the Service Provider is not liable for indirect loss caused by service interruption, lost encryption keys, loss of access, third-party clients, federation, user conduct, or unauthorized copies made by recipients.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.
19. GOVERNING LAW
These Terms are governed by Polish law.
This does not deprive consumers or other protected persons of mandatory rights granted by the law applicable in their country of residence.
Disputes shall be considered by a court having jurisdiction under applicable law.
20. CHANGES TO THESE TERMS
These Terms may be updated when the service, legal requirements, or operational conditions change.
The current version and last updated date will be published on this page.
Material changes may require renewed acceptance.
